How Do I Send a Bid Proposal to a Customer?

Step-by-step guide to generating and sending a Bid Proposal to a customer from within INNERGY.

Once you have completed your takeoff and are satisfied with your bid, INNERGY allows you to generate a formal Bid Proposal to share with the customer. The Bid Proposal is a formatted document summarizing your pricing and scope.

Step 1: Ensure the Correct Bid Is Set as Current

Before generating a proposal, confirm the Bid you want to send is marked as the Current Bid (indicated by a star icon). Only the Current Bid's data is used in the proposal. If you need to change which bid is current, see How do I change the Current Bid?.

Step 2: Generate the Bid Proposal

  1. Open the Opportunity from the Kanban board or Grid View.

  2. Navigate to the Bids tab.

  3. Locate the Bid you want to generate a proposal for.

  4. Click Generate Bid Proposal from the Bid row or the Bid detail view.

  5. INNERGY will generate a formatted proposal document based on the current Bid data.

Step 3: Review the Proposal

Before sending, review the generated proposal to confirm the pricing, scope, and customer details are accurate. If you need to adjust costs or quantities, return to Takeoff, make your changes, and regenerate the proposal.

Step 4: Export the Proposal

Once the proposal looks correct, export as a PDF before delivering it to the customer:

  • Export to PDF — Download the proposal as a shareable PDF to attach to an email.

Tip: After sending the proposal, update the Opportunity's stage on the Kanban board to reflect that the bid has been submitted (e.g., move it to a 'Bid Submitted' column). This keeps your pipeline view accurate.
