Work Order Management

Overview

This guide walks your team through the five configuration steps required to set up Work Order Management in INNERGY. These settings control how Projects are numbered, how dates are calculated, what dropdown values are available across your Work Orders, and how Change Orders are tracked through their approval process.

Step 1 - Viewing in peAk

This guide is available inside peAk.

Step 2 - Company Profile

Navigate to Company Profile and review the Settings and Projects tabs:

Company Profile - Settings

Targets Section

◦ Set your Target Margin/Hr - used for margin benchmarking across projects.

◦ Set your Target % Released - this value is used in the PM Workload Widget to track how much of your production capacity has been released.

Numbering Section

◦ Set your Project Starting Number.

◦ Set your preference for whether Project Numbers reset every year or continue sequentially.

Company Calendar Section

◦ Select how Work Orders appear on the Company Calendar.

Company Profile - Projects

Select your Default Project Billing method.

Optional - Create your Standard Work Order Instructions Template if your company wants a default instructions template to pre-populate on new Work Orders.

Step 3 - Working Calendar Setup

Navigate to Configuration > Working Calendars. Working Calendars are required for accurate date management across all Work Orders and scheduling in INNERGY. Without them, the system cannot correctly calculate due dates, milestones, or scheduling windows.

Create a Working Calendar for the current year, and consider creating the next year as well.

Set your working days and mark any company holidays or non-working days.

Important

Working Calendars must be created before you begin scheduling Work Orders. If your calendar is missing, date calculations across your entire project schedule will be inaccurate.

Step 4 - Dictionaries

Navigate to Configuration > Dictionaries. Review and edit the Project Management Dictionaries to match your organization's terminology and workflow requirements:

Attachment Tags - Labels for categorizing file attachments on Work Orders and Projects.

Drafting Impediments - Reasons a Drafting Work Order may be blocked or delayed.

Installation Impediments - Reasons an Installation Work Order may be blocked or delayed.

Internal Change Order Status - Status values for tracking internal Change Orders through your approval process.

Production Impediments - Reasons a Production Work Order may be blocked or delayed.

Work Order Tags - Tags that can be applied to Work Orders for filtering and reporting.

Best Practice

Set up your Impediment dictionaries before go-live. When a Work Order is blocked, employees need to select a reason - having accurate, specific options makes your impediment reporting meaningful and actionable.

Step 4 - Configuration > Dictionaries showing Project Management dictionary categories

Step 5 - Change Order Workflow Setup

Navigate to Configuration > Workflow > Change Order. Edit the Change Order Workflow to match your internal process and the approval steps you want to track.

The Change Order Workflow controls how Change Orders move from initial request through approval and into the project. Configure the steps to reflect your actual review and sign-off process so every Change Order has a clear, auditable path.

Pro Tip

Keep your Change Order Workflow steps simple and aligned with who actually approves change requests in your organization. An overly complex workflow creates friction - a well-designed one creates accountability.
