Contacts Library

Overview

The Contacts Library in INNERGY is your centralized database for all Companies, Offices, and People your organization interacts with - including customers, vendors, general contractors, and construction managers. This guide walks through configuring the Dictionaries that support your Contact records, then setting up the library itself.

Step 1 - Viewing in peAk

This guide is available inside peAk.

Step 2 - Dictionaries Setup

Navigate to Configuration > Dictionaries. Review and edit the Contact-related Dictionaries before populating your Contact Library. These values appear as dropdown options on Company, Office, and People records.

Company Dictionaries

Department - The internal department a contact company is associated with.

Geographic Scope - The geographic reach of a company (e.g., International, Local, National, Regional, State).

Payment Terms - Standard payment terms used on purchase orders and proposals.

Prefix - Company name prefixes (e.g., Dr., Mr., Mrs.).

Types - The type of company (e.g., Architect, Builder, Competitor, Construction Manager).

Vendor Type - Classification for vendor companies.

Work Type - The type of work a company is associated with.

Office Dictionaries

Office Grade - Classification for a company's office location.

Primary Shipping Method - The default shipping method for a vendor office.

People Dictionaries

Bid People Role Classification - The role a person plays in the bidding process.

Suffix - Name suffixes (e.g., Jr., Sr., III).

Title - Professional title for a contact person.

Step 2 - Configuration > Dictionaries showing Contact-related dictionary categories

Step 3 - Contact Library Setup

Navigate to Libraries > Contacts. Add your contacts manually or use the import spreadsheet to bring in a large list at once.

Important - Accounting Integration

INNERGY's accounting export integrates with Sage Intacct. Use the Company External ID field to store the Vendor ID, Customer ID, or other reference number your accounting system uses for that company - that External ID is what maps the two systems together, not the spelling of the Company Name.

If you use a different accounting package, the Company External ID field is still the right place to store whatever reference ID or account number ties the two systems together.

People and Companies - Go to Company Profile > Settings to toggle whether People are required to be connected to a Company. Turn this on if you want to enforce a structured relationship between contacts and their organizations.

Office Name - For a Company's Office Name, INNERGY recommends entering the city name. This keeps your office list consistent and easy to read.

Company Types with Additional Fields

The following Company Types unlock additional fields when selected, so you can capture the specific information relevant to each relationship type:

Vendors - Additional fields including Vendor Type, FSC Chain-of-Custody number, and FSC certification URL.

General Contractors and Construction Managers - Additional fields including Work Type, Annual Revenue, and Average Project Size.

All three types - Geographic Scope becomes available to further classify the relationship.
