Which accounting software integrates with INNERGY Payroll?

QuickBooks Online. The integration connects directly using Intuit's official secure API, so there is no manual file transfer and your QuickBooks credentials are never stored on INNERGY's side.

What does the integration do?

It syncs your payroll data into your books automatically instead of requiring manual entry. Once connected, each payroll run generates journal entries that post to the expense and liability accounts you designate in QuickBooks.

How do I set it up?

Follow these steps from inside INNERGY:

1. Go to Profile → Accounting export and select Set up.

2. Choose Connect to QuickBooks and log in with your QuickBooks credentials.

3. Confirm the correct QuickBooks company is linked.

4. Choose your sync behavior for Payroll Runs and Payroll Adjustments — automatic or manual, plus your preferred timing.

5. Map each payroll item to the corresponding QuickBooks account. Some items require both an expense account and a liability account.

For account-mapping questions specific to your books, check with QuickBooks Support or your tax professional.

⚠️ Sync preference changes are not retroactive

Changes to your sync settings only apply to future transactions. Any transaction already sitting in READY status before you changed the setting will NOT auto-sync and must be exported manually.

Managing Sync

What do the transaction statuses mean?

Each transaction in the Transactions tab shows one of four statuses:

Status

What it means

NOT READY

Payment processing has not finished yet. This transaction cannot be exported.

READY

Eligible to export but not yet sent to QuickBooks. Select and sync manually, or wait for auto-sync.

EXPORTED

Successfully sent to QuickBooks Online. Journal entries have been posted.

FAILED

The sync encountered an error. Hover over the status badge to see the specific error message, then fix the underlying issue and retry.

Where do I manage the connection?

There are two views inside INNERGY — navigate to Profile → Accounting export → Review to access them:

Settings tab

• Disconnect QuickBooks from INNERGY.

• Change your sync timing or switch between automatic and manual export.

Transactions tab

• View every synced transaction and its current status.

• Select one or more READY transactions and click Sync to QuickBooks Online to export them manually.

Do sync preference changes apply retroactively?

No. Changes only apply going forward. A transaction already sitting in READY before you changed the setting will not auto-sync — it must be exported manually from the Transactions tab.

Yes. INNERGY connects using Intuit's official secure API. There is no manual file transfer step and your QuickBooks credentials are never stored on INNERGY's side.

Troubleshooting

My sync failed — what should I do?

Start by hovering over the FAILED status badge — it displays the specific error message. Then address the underlying cause:

6. Account mapping error: A payroll item is mapped to a QuickBooks account that no longer exists or is inactive. Go to Profile → Accounting export → Settings and remap the item to a valid account.

7. QuickBooks-side error: The journal entry was rejected by QuickBooks (e.g., a locked accounting period or a permission issue). Log into QuickBooks, resolve the issue there, then retry the sync from the Transactions tab.

8. Connection error: The INNERGY–QuickBooks connection may have expired. Go to Profile → Accounting export → Settings, disconnect, and reconnect your QuickBooks account.

If the error persists after trying the above, contact INNERGY support with a screenshot of the error message.

Where do I find synced payroll inside QuickBooks?

In QuickBooks, go to Reports → Standard Reports → Journal report and filter to the specific paycheck date. Each payroll run appears as a journal entry with line items matching the expense and liability accounts you mapped during setup.
