Time Tracking

Overview

This guide walks your team through every configuration step required to activate Time Tracking in INNERGY. Work through these steps in order - each section builds on the last. Optional features are clearly marked so you can skip them if they do not apply to your organization.

Step 1 - Viewing in peAk

Step 2 - Shop Floor Time Tracking Options

Before configuring anything in INNERGY, your organization needs to decide how your Shop Floor employees will Clock In and Out. There are three supported methods:

Select the Work Order and Activity from the Time Tracking area of the Kiosk.

Select the Activity from the Labor Kanban.

Scan an Activity on the printed Work Order.

Important - Scanning Setup

If you plan to use Scanning, before you can scan into a device, you need to first login to the Kiosk using an Email and PIN to connect the device to INNERGY.

Step 3 - Job Site Time Tracking Options

For installers and others on the job site, your team can use Site Manager to Clock Time.

Step 4 - Company Profile - Settings - General

Navigate to Company Profile > Settings > General and configure the following:

Allow to Clock into Bids in Kiosk - Enable this checkbox if you want employees to be able to clock into Bids from the Kiosk. This setting controls whether the "Work on a Bid" button is active in Kiosk Time Tracking. If this checkbox is not enabled, the "Work on a Bid" button will appear greyed out for all employees — regardless of their assigned Roles or permissions.

Navigate to Company Profile > Settings > Time Tracking and review each option:

Time Tracking Rounding Rules - Set default rounding rules if you use Shift Schedules.

Automatic Breaks and Lunches - Turn on automatic application of breaks and lunches if you use Shift Schedules.

Preserve Proportions for Multiple Activities - Review and set this option based on your workflow.

Unallocated Time Flashing Warning - Review and set this visual warning for unallocated time.

Warning on Clock Out with Unallocated Time - Review and set this warning for employees clocking out with unallocated time.

Step 5 - Company Profile > Settings > Time Tracking

Step 6 - Company Profile - Settings - Security

Navigate to Company Profile > Settings > Security and configure:

Is Kiosk Auto Logout Enabled - Review and set this option to automatically log out the Kiosk after inactivity.

Step 7 - Company Profile - Departments

Navigate to Company Profile > Departments. Set the Timecard Approval Policy for each Department:

1. Full Auto Approval - The system will auto approve ALL time entries. This is the default Approval Policy.

2. Allocated Auto Approval - The system will auto approve time entries for Work Orders each day. It will not approve unallocated time.

3. Manual Approve - You will need to approve time entries each day.

Important

Only approved time shows up for job costing. However, you can still edit approved time.

Step 7 - Company Profile > Departments - Timecard Approval Policy

Step 8 - Company Profile - Step Rules

Navigate to Company Profile > Step Rules. Create Rules to automatically move your Work Orders through their Workflow from Time Tracking activities.

Step 9 - Kiosk Hardware

Set up Kiosks for the shop floor. The following additional hardware is optional depending on your time tracking method:

Optional - Printers for Employee Badges

Optional - Monitors/TVs for Gemba Boards

Step 10 - Labor Library

Navigate to Libraries > Labor. Verify all Labor Items are created with the correct costs and settings before employees begin clocking in.

Determine if you will want Generic Labor Items to track things like Meetings, Maintenance, PTO, Holiday, etc.

Time Off, PTO, and Holiday Time

INNERGY now includes a dedicated Time Off activity type in Time Tracking (added in Release 121.0.0, September 2025). This replaces the previous workaround of using Generic Labor Items for PTO and Holiday. Some organizations still use Generic Labor Items for PTO or Holiday if they are not using the Payroll integration — that approach continues to work.

Time Off Activity Type (Release 121+): The dedicated Time Off activity type integrates with the INNERGY Payroll feature. When enabled, employees can report time away from work using this activity. Starting with Release 122.0.0, Time Off entries can also be created directly from Office (not only from Kiosk), giving managers a clearer view of team capacity and availability.

Time Off Permissions (Release 124+): A permission controls visibility of the Time Off button in both ERP and Kiosk. By default this permission is enabled for roles that have the HumanResources > TimeTracking > TimeCard > Create permission.

Time Off Balances (Release 125+, Payroll component required): When the INNERGY Payroll component is enabled, employees can view their available time off balance directly in ERP and Kiosk. The balance updates after each payroll cycle. Time Off durations can be set from 1 minute up to 24 hours (the previous 8-hour limit has been removed).

Paid Time Off & Sick Pay (Release 123+): Both Paid Time Off and Sick Pay are automatically marked as paid in Time Tracking, ensuring payroll and reports reflect the correct paid status.

No bulk time entry tool (legacy approach): If you need to enter Holiday, PTO, or other hours for multiple employees without using the Time Off activity type, this must be done one employee at a time using the Time Tracking Grid (Create → Hours). Step 11 - Roles

Navigate to Configuration > Roles. Create or adjust Roles for employees who will need to Clock In/Out or Review/Edit Timecards, and set Permissions for those Roles.

4. Create or adjust Roles for Clock In/Out employees and for supervisors who approve or edit timecards.

5. Set Permissions for those Roles to control access to Time Tracking and Timecard Approval features.

Step 11 - Configuration > Roles

Step 12 - Create Employees

Navigate to Human Resources > Employees. Create all employees that will be using Time Tracking and configure each record fully before go-live:

Create all employees that will be using Time Tracking.

Update the Shift Schedule of each employee (if applicable).

Assign Roles to employees.

Set PIN numbers for employees who will clock in via the Kiosk.

Optional Features

The following steps are OPTIONAL. Skip any section that does not apply to your organization.

OPTIONAL - Shift Schedules

Creating Shift Schedules is OPTIONAL - skip this section if you do not want to use Shift Schedules.

Shift Schedules allow you to set shift start/end time rounding rules, auto breaks, and auto lunches.

You can create as many Shift Schedules as needed - but an employee can only be associated with one Shift Schedule.

After Shift Schedules are created, you can assign employees to them from the Employees Grid.

OPTIONAL - Labor Kanban

If you plan to use the Labor Kanban, please review the Labor Kanban Setup Course in peAk.

Set up the Workflows for each Labor Item that will use a Labor Kanban.

OPTIONAL - Gemba Board

Using INNERGY Gemba Boards is OPTIONAL. Gemba Boards allow you to quickly see what employees are working on and how many planned hours have been consumed so far.

Configure Gemba Board settings for Kiosks.

OPTIONAL Step 15 - Gemba Board in INNERGY

OPTIONAL - Time Tracking Teams

Creating Time Tracking Teams is OPTIONAL - skip this section if you do not want to use Time Tracking Teams.

Time Tracking Teams allow people to join a team. When an employee on that team switches activities, it will change the activity for everyone else on that team.

Important

Time Tracking Teams DOES NOT clock users in or out on that team - that is a separate action the individual employee needs to do.
